How we protect and handle your data

1. Introduction

Linguae ("Linguae", "we", "us", "our") is an offline-first desktop application for professional document translation.

This Privacy Policy explains what information we collect, why we collect it, how we protect it, and what choices and rights you have.

Core privacy promise: your documents are translated locally on your device during normal use. We do not upload, read, store, or sell your document content, translation results, local files, translation memory, or downloaded translation models.

3. Scope

This Policy applies to:

  • the Linguae desktop application;
  • Linguae licensing, billing, credit, Enterprise, admin, and analytics backend services;
  • the public Linguae website at linguae.app.

It does not apply to third-party websites or services that we do not control, even if they link to or from Linguae.

4. Offline-First Document Processing

The desktop application processes documents locally on your device during normal translation.

We do not collect or receive:

  • document content;
  • source files or local file paths;
  • translation results;
  • translation memory entries;
  • downloaded translation models;
  • the text you translate;
  • screenshots of your documents.

You remain responsible for the documents you choose to translate and for any backup, deletion, or export of local files on your device.

5. Information We Collect

5.1 License, Account, And Subscription Data

When you activate a license, purchase Pro, buy credit bundles, use the billing portal, or contact us about support, we may collect:

We do not receive full payment card numbers. Stripe processes card details directly.

5.2 Credit Bundle Data

If you buy pay-per-document credits, we may process:

  • bundle type and credit balance;
  • Stripe checkout/session metadata needed to provision credits;
  • device/machine identity used to bind credits to the purchasing device;
  • document hashes used only to prevent duplicate credit consumption.

Document hashes are not document content and are not used to reconstruct your files.

5.3 Enterprise Sales And Organization Data

If you submit an Enterprise inquiry or use an Enterprise organization account, we may collect:

Enterprise org admins can only access organization data that belongs to their organization.

5.4 Admin Dashboard Data

For Linguae staff/admin users, we may collect:

  • admin email, name, role, and status;
  • login and security metadata;
  • MFA setup and verification status;
  • audit logs of admin actions;
  • password reset and session revocation metadata.

6. Analytics

6.1 Desktop App Analytics

Desktop app analytics are opt-in. They are disabled unless you explicitly enable them in Settings.

If enabled, the app may collect and sync aggregate usage and performance data such as:

  • number of translations since the last sync;
  • features used, such as translation memory;
  • average translation time;
  • average file size;
  • app version;
  • operating system platform/version;
  • license tier;
  • days used offline since the last sync.

Desktop app analytics do not include document content, file names, local file paths, translation results, translation memory, glossaries, or downloaded models.

You can disable desktop analytics at any time in the application settings. Local pending analytics can be cleared from the app where supported.

6.2 Public Website Analytics

The public website may use Google Analytics 4 and website performance/traffic measurement tools to understand aggregate website traffic, page views, referrals, engagement, and web performance.

Website analytics do not include document content, translation results, local files, translation memory, glossaries, downloaded models, or desktop app translation activity.

Analytics and measurement scripts on the public website are intended to load only after the user has granted analytics consent where such consent is required. If you refuse analytics cookies, the website should continue to work and analytics scripts should remain blocked. You can later reopen the cookie preferences and change or withdraw your choice.

Google Analytics may process website interaction data such as page views, browser/device information, approximate geography, referral source, and engagement events. Google states that Google Analytics 4 does not log or store individual IP addresses. You can control cookies through your browser and through the consent controls presented on the website.

7. How We Use Information

We use information to:

  • provide, activate, and validate licenses;
  • manage Pro subscriptions, billing, renewals, cancellations, and refunds;
  • provision credit bundles and prevent duplicate credit use;
  • respond to Enterprise inquiries and manage Enterprise organizations and seats;
  • send transactional emails, such as license keys, payment warnings, password resets, and Enterprise seat invitations;
  • provide support and respond to requests;
  • secure the service, detect abuse, and maintain audit logs;
  • improve product reliability through opt-in aggregate analytics;
  • comply with legal, accounting, tax, and security obligations.

9. Service Providers And Data Sharing

We do not sell your personal information.

We share data only as needed with service providers that help us operate Linguae:

These providers process data under their own privacy terms and/or data processing terms. We may also disclose information if required by law, to protect rights and safety, or in connection with a business transfer, subject to applicable law.

10. International Transfers

We are based in Quebec, Canada. Our providers may process information in Canada, the United States, the European Economic Area, or other countries.

Where required, we rely on appropriate safeguards such as contractual protections, data processing agreements, Standard Contractual Clauses, or other transfer mechanisms recognized by applicable law.

11. Data Retention

We keep personal information only as long as reasonably necessary for the purposes described in this Policy, unless a longer period is required by law.

Local document data on your device remains under your control and can be removed by deleting the relevant local data or uninstalling the application.

12. Security

We use reasonable technical and organizational safeguards, including:

  • TLS encryption in transit for backend communications;
  • access controls and role-based permissions;
  • password hashing for admin and organization accounts;
  • MFA support for admin access where configured;
  • audit logging for sensitive admin and Enterprise actions;
  • rate limiting and security headers on backend routes;
  • provider-managed database and infrastructure security controls.

13. Your Rights And Choices

Depending on where you live, including under Quebec/Canadian privacy laws and GDPR where applicable, you may have the right to:

  • access personal information we hold about you;
  • correct inaccurate information;
  • request deletion of certain information;
  • withdraw consent for analytics;
  • object to or restrict certain processing;
  • request data portability where applicable;
  • ask questions or file a privacy complaint.

To exercise these rights, contact us at yanis.aksas@gmail.com. We may need to verify your identity before responding. We aim to respond within 30 days, subject to applicable law.

You may also contact your local privacy regulator. In Quebec, this may include the Commission d'accès à l'information du Québec.

14. Children

Linguae is not intended for children under 13. We do not knowingly collect personal information from children under 13. If we learn that such information has been collected, we will take reasonable steps to delete it.

15. Cookies And Similar Technologies

The Linguae desktop application does not use browser cookies for document translation.

The public website may use cookies or similar technologies for essential website functionality and, if you accept them, analytics/measurement tools such as Google Analytics 4.

Where applicable law requires consent, analytics cookies or similar technologies should not be set until you have actively accepted analytics. Refusing analytics should be as easy as accepting them. You can later reopen the cookie preferences to change or withdraw your choice.

You can also manage cookies through your browser settings, but browser controls may be broader than the website-specific consent controls presented on the site.

16. Changes To This Policy

We may update this Privacy Policy from time to time. The updated version will show a new effective date. For material changes, we may provide additional notice through the website, the application, or email where appropriate.
